Terms and Conditions for attending Resourcing Leaders Summits (RL Summits)

Summit place application and approval:

  • Application to attend is made via the RL Summits Events Page, the attendee completes the application process, agreeing to these Terms and Conditions and once approved by the Organiser the place is confirmed.
  • Acceptance by the Organiser will be acknowledged by email.
  • The Organiser may accept or reject an application at its absolute discretion.  All Applications placed will go through a qualification process to ensure that they meet the Summit attendee criteria.
  • An application may be declined if the criteria is not met or the event is at capacity.
  • The organiser reserves the right to withdraw any attendees place at the event, subject to a change in their employment status.

Obligation of the Organiser

  • The Organiser agrees to provide the Attendee with services; Attendance to the Summit, standard accommodation where the event is over two days and related hosted services.

Obligation of the attendee

  • Attendees are obliged to adhere to the code of conduct for attending the RL Summit event. 
  • Attendees are obliged to vacate the relevant hotel room and the Venue as specified by the hotel or the Organiser and shall be responsible for any extra charges if they fail to do so.

Cancellation by Attendee

  • Participants wishing to cancel their registration must do so within the specified cancellation period of 2-weeks prior to the event.
  • Cancellations must be submitted in writing via email to events@recruitmentevents.co
  • In the event a cancellation is received less than 2-weeks prior to the event Attendees are liable to cover the cost of their daily delegate rate (DDR) as outlined below.
    • 25% of the DDR for cancellations made 14 days or less before the event.
    • 50% of the DDR for cancellations made between 1 and 6 days before the event.
  • Participants who do not attend the event without prior notification will be considered “no-shows.” and are liable to cover the cost of their daily delegate rate (DDR). 
    • 100% for any no-show with no prior notice, as well as a complete ban from all events.

Vendor Meetings

  • Participants interested in meeting vendors during the application process will be sent details of meetings as part of this ahead of their attendance. 
  • Meetings are set within the Connection hour of the event and do not clash with other content. 
  • Participants wishing to cancel their arranged meetings must do so within the specified cancellation period of 2-weeks prior to the event. 
  • Cancellations must be submitted in writing via email to events@recruitmentevents.co

Chatham House Rules: 

  • When a meeting, or part thereof, is held under the Chatham House Rule, participants are free to use the information received, but neither the identity nor the affiliation of the speaker(s), nor that of any other participant, may be revealed. 

Photography and Videography

  • By attending a Summit, attendees grant the organisers the right to capture their images in photographs. This content may be used for promotional and marketing purposes related to RecFest and its associated activities.
  • If attendees do not want to be featured in published images, they should inform event organisers.
  • Attendees can, unless stated during a presentation take photos of slides for internal use only – no slides should be shared online without consent of the speaker.

Data Sharing with Sponsors

  • By attending a Summit, attendees consent to their contact data being shared with event sponsors for promotional purposes. Any attendee who does not wish for their data to be shared should inform the event organisers in writing prior to the event. 

Safety and Security

  • Attendees are required to comply with all safety and security regulations set by the event organisers and venue management. Any attendee found in violation of these regulations may be asked to leave the event. 

Limitation of Liability

  • RL Summit organisers, partners, sponsors, and venue management will not be responsible for any loss, damage, injury, or disappointment suffered by any attendee whilst attending the event, save for any legal obligations to the contrary. 

Amendments to the Terms

  • The event organisers reserve the right to amend or add to these terms and conditions without prior notice. Attendees are advised to check the event website regularly for updates. 

Behaviour and Conduct

  • Attendees are expected to conduct themselves professionally and respectfully at all times. The Recruitment Events Co. strives for all our events to be a 100% positive experience from beginning to end for everyone. We celebrate and welcome the diversity of all attendees, vendors, sponsors, partners, speakers and employees and will not tolerate discriminatory behaviour by or towards anyone taking part in our events (whether in-person or virtually).

    By attending our events, you’re agreeing to respect and be kind to everyone present, regardless of their gender, race, religion, age, sexual orientation, ability or any other aspect of what they look like, where they come from or who they are.

    Any breaches of the below codes of conduct will be dealt with seriously and may mean temporary or permanent exclusion from our events. 
    • Harassment in any form, whether based on gender, race, religion, sexual orientation, disability, or any other characteristic, will not be tolerated.
    • Alcohol – If alcohol is being served at the event, attendees must be of legal drinking age and are expected to consume alcohol responsibly. Excessive drinking, drunkenness, or disorderly conduct will not be tolerated.
    • Dress Code – The event has a business casual dress code, and attendees are expected to dress appropriately for the occasion. Clothing that is revealing, provocative, offensive, or inappropriate is not permitted. Attendees should use their best judgment when selecting their attire, taking into consideration the nature of the event, the audience, and the venue.
    • Changes to the Rules of Engagement – The event organizers reserve the right to modify these rules of engagement at any time, without prior notice. Attendees are responsible for staying informed about any changes and complying with the updated guidelines. The event organizers will make reasonable efforts to communicate any changes through the event website, email, or social media.
    • Consequences of Non-Compliance
      Attendees, vendors, sponsors, and speakers who do not comply with these rules of engagement may be asked to leave the event without a refund. In severe cases, the event organizers may also take legal action against the violators, including but not limited to filing a police report, pressing charges, or seeking compensation for damages. Attendees are responsible for any costs or expenses incurred as a result of their non-compliance with these guidelines.

Intellectual Property

  • All content presented or displayed at RL Summits, including but not limited to presentations, workshops, and exhibitions, remains the intellectual property of its respective creators. Unauthorized reproduction or distribution is prohibited. 

Accessibility

  • The venue is committed to providing an environment that is accessible to all. Attendees with special requirements are encouraged to contact the event organisers in advance to ensure their needs are accommodated. 

Lost or Stolen Items

  • Attendees are responsible for their own personal belongings and property.
  • Please notify the event organisers of any lost property.

Health and Wellbeing

  • Attendees are expected to adhere to any health and safety protocols set by the event organisers and venue management.
  • In the event of an emergency, attendees should follow the evacuation protocols as directed by event staff and venue personnel.

Participant Acknowledgment and Liability Waiver:

  • By registering for and attending this event, participants acknowledge that the event organizers, while coordinating with venue providers for food services, are not responsible for the preparation, content, or ingredients of the food provided. Participants are responsible for informing the event organizers (RL100) directly of any food allergies or dietary restrictions. Event organizers will make reasonable efforts to communicate these dietary needs to the food service providers. Notwithstanding the foregoing, the participant agrees to release, indemnify, and hold harmless the event organizers, their officers, employees, and agents from any and all claims, liabilities, damages, or expenses arising out of or in connection with any allergic reactions or other food-related incidents that may occur at the event. This waiver does not affect any rights the participant may have under applicable law that cannot be waived by agreement.

Force Majeure

  • The event organisers shall not be held liable for any changes, cancellations, or postponements of RL Summits due to unforeseen circumstances beyond their control, including but not limited to natural disasters, strikes, or public health emergencies. 

Data Protection and Privacy

  • Attendee data will be handled with utmost care and in compliance with our privacy policy (https://recruitmentevents.co/privacy-policy-cookies/) 

Venue Specifics

  • Attendees must adhere to all rules and guidelines set forth by the venue management. This includes any restrictions on areas of the venue that are off-limits to attendees. 

Third-Party Vendors

  • Any transactions or interactions with third-party vendors at RL Summits are solely between the attendee and the respective vendor. The event organisers and venue management shall not be held liable for any disputes or issues arising from such interactions.
